How Kirk Group Vets Every Contractor Before Placement

When a client asks Kirk Group to supply a contractor, they are not simply asking for a name from a list. They are trusting us to have verified that the person arriving on their site — or in their client's home — is exactly who they say they are, holds the qualifications they claim, and has the track record to back them up. Our vetting process is designed to surface problems before they reach the client.

This multi-stage process applies to every contractor we register — regardless of sector, seniority, or how they came to us. There are no shortcuts, and no exceptions.

Stage 1 — Application and Initial Screening

Every contractor begins with a structured application covering their work history, primary specialisms, geographic flexibility, preferred contract types, and current compliance status. Our team reviews every application manually. We look for completeness, consistency, and any indicators that further scrutiny is warranted — gaps in employment history, sector claims that don't align with stated experience, or qualifications inconsistent with the claimed role level.

Stage 2 — Identity and Right-to-Work Verification

We verify the identity of every contractor using government-issued photographic ID cross-referenced against their application details. Right-to-work checks are conducted in line with current UK Home Office requirements, with documentation stored securely and retained per our data handling policies. We do not place any contractor whose right-to-work status cannot be confirmed.

Stage 3 — Professional Reference Checks

We take a minimum of two professional references for every contractor. References must be from direct line managers or clients — not colleagues or character referees — and must cover recent, relevant assignments. We contact references directly by phone where possible, because a conversation tells you significantly more than a written reply. We ask specifically about reliability, quality of work, conduct, and whether the referee would re-engage the contractor.

Stage 4 — Qualifications and Certification Verification

Every qualification, certification, and scheme registration declared by a contractor is verified against the issuing body. CSCS cards are checked through the CITB portal. Gas Safe registrations are verified on the Gas Safe Register. JIB/ECS cards are checked directly. City & Guilds certificates are verified where possible. We do not accept certificates at face value — documents are scrutinised for authenticity, expiry dates are checked, and any discrepancies are escalated immediately.

Stage 5 — Sector-Specific Compliance

Compliance requirements vary by sector and our vetting reflects that. For care contractors: enhanced DBS disclosure, relevant care qualifications (QCF Level 2 minimum for most roles), and additional character references for live-in and personal care roles. For construction: CSCS card status and valid public liability insurance. For trades: scheme memberships and insurance confirmed. Every contractor must hold valid public liability insurance before any placement.

When we present you with a candidate, their identity is verified, qualifications confirmed, references spoken to, and compliance documentation is on file. You do not need to repeat these checks — we have done them, documented them, and stand behind them.
